Why Your Voice Over Invoicing Should be Set Up the Day You Launch

I learn so much and am often so inspired by my voice over students. Recently, a very talented student new to voice over who had all his demos done and his website up and running booked his first gig! YAY! He reached out and wanted to know how to send an invoice. I was surprised by this. I was less surprised that he did not know and more surprised that I did not make it clear. So here I am, making it clear: if you are at the point where you are auditioning for work and ready to accept booked work that the universe sends your way, you had better have your business bank account up and running, and your voice over invoicing software set up and ready for use. Even though we had talked about invoicing and talked about CRMS, apparently I did not make it straightforward enough, so this is me making it clear. Do not start looking for work if you do not know what you are going to do when that work comes in. Why? From start to finish, you want you your client to have a seamless, professional experience, and if they have not taken every single step that you have discussed, then they are not ready to launch yet. Period.

My Personal Voice Over Invoicing Preference: Wave App

Over my years as a working voice talent, I have tried many different types of billing programs. I strongly prefer Wave App for several reasons. First of all, it’s free. Next, it is integrated rather seamlessly into the CRM I use, Voiceoverview. Because of this integration, I can create the invoice, modify, edit, and send it all within VOV. I can create shareable links and download PDFs of the invoice. I was able to customize the design to include my logo and the fonts that I prefer. All in all, of every option I have tried for invoicing over the years, this has been my absolute favorite.

Fresh Books

I very much liked using Fresh Books and its features and the only real downside is the heft monthly cost. I liked the look of the invoices it created. I liked that I could accept bank transfers, credit cards, and PayPal! I liked that I could add taxes for different countries. I very much liked the time tracking features. When I have done copywriting work, I used this feature and could do precise, to the second invoicing with ease. I also liked that for clients in other countries this program could sort out VATs and all of that and my effort was very little. Again, if it were free I would likely still use it.

PayPal

I love that you can create invoices for free. I do have some clients who specifically ask for PayPal invoices and I am happy to send them. Because they do not integrate with my CRM, I prefer Wave App to this, simply for ease of record keeping. This is fine, but not as great.

Square

I tried Square for several months several years ago. Other than to say it was lackluster compared to other invoicing systems, I do not have much to see. The look of the invoices was “ehh.” It was not as easy to work with. My overall experience was mediocre. Not bad, just not exciting.

Quicken

I have never endeavored to use Quicken, but much like Fresh Books those who do use it seem to love it very much. Quicken provides many features, and can both invoice and work as your accounting software. Again, like Fresh Books, you have to pay to use Quicken.

Voice Over Invoicing Best Practices

As small business owners with a client-centered approach, we need to be mindful of what is best for our clients. Typically, every time I deliver finished audio I invoice within the same email with a shareable payment link. As my billing software will also invoice directly, after that email, I also send a specific invoice-only email. Some clients specifically ask for either a downloadable PDF or for a PayPal invoice, and if that is the case I send that upon delivery of the email. In my invoice, I also have a “footer” message giving very clear and specific instructions with all the ways that I accept payment. I do know some nice talents who invoice weekly, but I prefer to send the invoice as the job is completed. The only time I make an exception is when I have a client who requests a monthly invoice. If that is the case I hold the invoice until the end of the month and invoice for everything at once.

Sometimes, it can be hard as business owners to balance what is right for our clients and what makes the most sense for us as voice talents. For example, sometimes clients request sessions at times that conflict without family responsibilities. In this instance, it is actually possible to both meet our client’s needs and to make the sound choice for our own business.

Radio Imaging That’s Upbeat, Fun, and Affordable

Don't Settle: Steve Jobs quoteWhile I’ve been full time in voice over since 2015, I did not discover Radio Imaging as a genre or my passion for it until 2017. As a professional female voice talent, I had been booking a lot of commercials and loved my commercial work. I was researching and trying to figure out what else was like commercial work to see what I might be good at. When I found radio imaging, I loved the genre right away because of the energy. In other genres of VO, I often have to dial down my energy and contain my exuberance. I have always found this quite ironic, because authentic is a big buzz word right now in voice over, and I authentically am bursting with energy. So when I found radio imaging, it seemed like the perfect fit and I began actively pursuing radio stations to add to my client roster. I love working with radio stations, regardless of market size, and do my best to meet all budget needs.

This Station Reached Out

Competitor is One Click AwayAbout a week ago I got an email through my website from Brandon at Ozarks Work Mix Radio. He was looking for a new female voice for his station. He needed both liners/sweepers and station IDs or stingers as he calls them. He was used to working with a male talent for quite a while who had provided him with packages. Brandon made it easy from the start. He was transparent about what he needed and what budget he was starting with. He even sent a link to his prior provider which made it so easy for me to be as helpful as possible. I was confident my team and I could present him with high quality, upbeat, fun liners, sweepers, and station IDs to compliment what was playing currently on the station. Brandon explained that the station was created so that there is a great mix and something for everyone. He explained that this blend of 70s, 80s, 90s, and today was a clean, upbeat mix so that whether you were at work or on a road trip you could just keep listening. They play a fun blend of pop, rock, and country. Who doesn’t love that?? I was so excited to be working with them. After all, this is my kind of music!

Presenting it On Their Terms

Brandon was used to getting packages from his male imaging provider, cluster in lines of 5 or 10. I had not previously done this, as all the other stations I’ve worked with had priced imaging per page, which is much more standard across the industry. Still, this is what the client wanted and I wanted to make it easy for him even if my rates were not the same. I spoke with several excellent producers who were all available to produce the sweepers and stingers for OWMR, and presented a chart of the different options, comparing them to the client’s current pricing in the top row, so that he could compare apples to apples. It also occurred to me when preparing the data for the station that other small stations like Ozarks Work Mix Radio might be looking for the same type of pricing, and now I have this to offer future prospect as well.

Getting It DONE!

Brandon reviewed the options and selected what fit his needs best. The prices I had quoted him included production and voiceover. To be clear, while the prices were not high, they worked for all parties involved. What was new to me, was that he needed copy writing for his imaging content as well. I had not initially understood that the previous provided’s prices also included the copy. Frankly, I was thrilled to work with him on this as well. I haven been doing copy writing for years, and I love adding copy writing clients. I immediately started writing the scripts. The next morning I recorded, and that morning they were sent to the different producers. Half of the spots have come back already and are live and on the air, half will be back at the end of the next work week.

Takeaways From the Experience

People Remember how You Make Them FeelThe station is happy. They are extremely pleased and I made it easy for them to get what they wanted and needed. I had a blast working with industry partners doing what I love. For me, even if a station is small, there is still a lot of value in providing them service. My hope it that they will now come back to me as they need more sweepers and station promos. It’s not just providing them quality content that has great meaning to me, but also getting to know my clients and building a strong relationship over time. So while I made them happy with this first go around, now the work of building a lasting relationship so that I can serve them even better begins. With taking feedback, introspection, and hard work, I hope to continue to provide them with outstanding radio imaging for years to come.

As a full-time working professional with years of experience and top brands as my clients, maintaining industry standard rates is essential to my business ethics. What are you paying for when you hire an established voice talent? You might think you are paying for the actual voice over for a given project and the usage of that voice over, but the rates stand for even more. The rates are based on the years of coaching and the on-going training that a professional has to understand what is current and booking in the industry. The rates are in a certain zone because professional talents maintain broad-cast ready studios with expensive equipment so that the audio quality is pristine every single time. The studios typically offer costly methods for live sessions, including Source Connect. Lastly, when you book a job in a certain range, you have are getting the guarantee of revisions and availability of that talent. The rate being in a certain range, then, should come as a quality assurance. Conversely, rates that are surprisingly low should serve as a red flag and alert you that either a talent is inexperienced or lacking in one of the areas and you should run for the hills.

What were the goals of this voiceover purchasing system?

    • First and foremost, my goal is to be extremely helpful to my clients! I always want to get them what they need as quickly as they need it.
    • Transparency is very important to me. I am always consistent in what I charge folks. When asked what I base my rates on, I always send a link to the GVAA rates card.

  • I always want my website to be user-friendly. Besides trying to offer up to date samples to help showcase my work and ability, sometimes clients need inspiration and ideas and the samples and demos are their for that as well.
  • This menu was create to make voiceover shopping or purchasing as easy as one, two, three. As per the above video, you simply go to your category, select the item, add it to your cart, and voila. Within hours you will have your finished audio!
  • We never seem to have enough time in the day, right? My hope is that this purchasing option saves you time as well!

Can I accommodate RUSH jobs with this?

ABSOLUTELY, YES! The purpose of simplifying the voiceover purchasing process is for my clients go get the pristine audio that they need as soon as possible. I typically can accommodate RUSH jobs, you just need to let me know when you book that it is a RUSH job. A RUSH job is typically a job that you need back within 4 hours. Otherwise you can expect a 24 hour turn-around on your project. I understand that sometimes you have clients on the other side who need something right away, and consequently you need something from a professional voiceover actor right away. I am happy to help and the quality of your project is always the same regardless of your deadline.

Now, how can we make this process go smoothly? I will need you to:

  • Send me your script/copy
  • Answer questions I might have for you about production including whether or not you want your files RAW or Compressed, etc
  • include your email and/or phone number
  • Because you have already paid, there is no discussion of invoice!
  • Are there daily specials or menu changes?

The other “special” you will likely notice is that for sections like Toys or New Media, it says that you need to email me for a quote directly. I typically give a lot of thought to how each job is priced. In these categories in particular, they must be custom negotiated every single time. The usage issues are just too complex.
