Building Your Voice Over Office Space

Often when we start out in a new industry, as excited and enthusiastic as we are, we don’t know if our business will actually take off. When I built my voice over business, it made sense to me to invest money where it mattered, in sound proofing and in gear like microphones, in lieu of spending it on items like desks and fancy chairs. I knew, even at the start, that if I had a hope of growing, my audio quality had to be competitive and my investment had to go there.  My initial dest was cute and inexpensive, it was a teal small desk from overstock.com. This is the desk that sat outside my booth. It sufficed. It was never comfortable. It was small and quickly became cluttered. I also have always used a chair I already had in the house. As my business grew, I added a file cabinets. The chair I have always used is a lovely chair that we had. Again, the office space was not my priority.

Well, here I am, years later, an established professional female voice actor and coach, and I wanted to re-create my office space into a place I actually wanted to be. I identified the problems:

  • My desk was too small.
  • I did not have enough space and had clutter on my desk.
  • I did not like being at my desk.
  • My desk was not visually appealing.
  • I did not like the way the desk faced but could not change that because I have a monitor and gear in the booth the all is hooked up to the computer outside the booth on this desk.
  • I actually prefer working on a super comfy chair or sofa to working at a desk.
  • I like something soft under my feet.

With all of this in mind, I began researching my office space fix up.

Guiding Questions:

If you are just new to voiceover and putting your space together or if you are fixing up your space, here are some questions to consider:

  • Are you paperless or do you have paper?
  • Do you like a lot of Gear?
  • Do you like Texture/To be Cozy?
  • Are you a minimalist or do you like decorative embellishments?

Tips:

While it was smart that I was budget conscious, I should have invested a little more into my initial space.  Think about what you have and where you are going to put it, instead of buying a desk and trying to make it work.

For example, when I built my booth, I placed hooks in spaces where I needed them: on the wall for my cans and under the desk for spare wires. I built an extra ledge so that my preamp is not sitting on the desk. All of this not only customizes the space, but makes it so much more pleasant to spend long hours in.

Another tip is to actually measure. When I bought new furniture this time around, I measured the items I needed to put in a bookshelf to ensure ample space. I measured the wall where the desk is to make sure I have the biggest possible space.

Comfortable Work Space

As professional voice over actors, it is typical that we work long days across multiple time zones, so our work space, both in and out of the booth, needs to be comfortable. I have friends who swear by their standing pads. I myself have layered carpets because I love both the look and the feel. Another tip is that the desk in my booth is at my exact standing height, built for me specifically. I love this. I will say that having had both a small and cramped desk and a large and luxurious desk, it is much better to have the large desk!! I am exceedingly more comfortable.

Booth/Workspace Must Haves

There are certain items I consider non-negotiable. Keep in mind that I do actually use paper:

  • great lighting/an awesome dest lamp
  • bulletin boards
  • an essential oil diffuser
  • file cabinets. I happen to love to save scripts. Especially now that I coach, you just never know when you will need them.
  • A charging station
  • an array of vocal sprays
  • cable ties
  • A blotter/pencil cup that is in line with your branding
  • an “in session” or “do not disturb” sign for when you’re recording
  • A music stand and light for scripts
  • family pictures so that you remember your why
  • lots of outlets
  • an exhaust fan
  • dog beds for my studio dogs
  • a scale for mail/postage

So, What Did I Choose?

This is my new desk with file cabinets and book shelf from Pottery Barn.

In the end, I wanted a place I would be comfortable and organized. I wanted an office space that would both look nice and function well. I ultimately made tweaks to both my booth and my work space. In my booth, I got a new rug and dog bed. In my office space I got a new desk and files, a new book case, and a beautiful new velvet chair and end table. I am elated, is all wonderful. My advice to you is that regardless of your budget, make sure you LOVE everything you pick, because if you have to re-do it it costs more.

Finding Voice Over Work on CastVoices

Put simply, our first Clubhouse with the Liz Atherton and Nick Krause of CastVoices left us wanting more! So many guests in our room “Ask the VO Coaches” had questions, that Diana Birdsall and I did not even get through half of ours. So we were lucky enough to have Liz and Nick back again. If you are not yet in the CastVoices user group, the timing could not have been more perfect. This week some paying members were getting a little antsy about when more bookings would roll out and the tone of the chatter was somewhat impolite, so having Liz available to answer questions meant a lot. The funny thing is that as some were raising questions, I myself booked two roles on a video game that I auditioned on only through the site. It will be an ongoing role with work that will likely last years. So, for these of you who are worried, I urge you to sit back and relax. The work is coming. Now, for my re-cap:

There Are Some Features Unique to Cast Voices

On this platform, if a casting director choses, they can give you feedback on your audition. This is not typical and is extremely valuable! There is a sound-byte feature in your profile. This is meant to give voice actors an opportunity to stand out regardless of your level of experience. This is where you can show the human side of you and reveal a glimpse of your personality. Nick is extremely proud of the code that he has built, he has worked hard to create a platform to highlight voice actor’s talents. I shared that I love the resume feature, and Liz commented that ultimately this will be interactive.

CastVoices has a Social Mission

Liz was thrilled to share that the entire CastVoices team is likeminded in their focus on service to others. When they did an Indiegogo campaign to launch CastVoices, they ended up donating 50% of what they brought in. Of those funds, 50% went to feeding America, and 50% went to Tim Friedlander and Jay Preston’s financial assistance program for all actors in need. This money was given not with the question of “should we” but a “how can we” from a place of “spirit and love.” This team is truly amazing.

A Lot of SEO has been Put into the Site

Nick explained that the goal is that if someone searches for your name, they want your CastVoices profile to pop up. If someone searches for a project you’ve done and it’s on your resume, your CastVoices profile should come up. Through dynamic site maps, you are indexed in google right away.

Differences in Membership Levels on CastVoices

Liz made it clear they are very transparent: the only way they make money on the site is through subscriptions, not through casting. The differences in membership levels include the amount of samples shown, logos posted, and booked work you can show. On all levels of membership, clients can reach you directly.

Getting Buyers to the Platform

Their entire team is working hard to create strategic partnerships every day. They are connecting with creative directors, advertising agencies, gaming companies, and more. They go at it as a project enhancement platform. Every single day they reach out to clients, just as we do as small business owners, and encourage them to use the platform.  As of Friday they have 36 creative directors and 61 agents on CastVoices.

Some Questions That Came Up

Bev Standing asked for tips to set up her profile. Liz advised to look at the categories on her demos and to create a custom URL. Liz also offered that if people don’t have a website up yet they can use this custom URL. Liz also pointed out that we should specify the age ranges we can work in. Others asked if the CastVoices team will go over their profile and resume and Liz said she’ll do so as time permits. They also revealed that they have a huge client who needs translations, and already have business in 50 countries, so if you are able to provide translation please list that. Another topic that came up was etiquette. If you are contacted within the platform, it is appropriate to stay within the platform, not to track the casting director down outside of the platform. Another guest asked if they are looking for trends. Nick explained the ultimately they will, but at this juncture while they are doing certain analytics they do not have trends that will help voice actors yet. It was also asked if a profile can go stale. The answer is no. If you update it with new samples of booked work, so should be fine. If you are inactive, you can mark yourself inactive.

Conclusions

CastVoices is good for the voice over community. Their heart is in the right place and they have set us all up for success. How can we, as talent, help them take off? If you have clients who need to cast you can point them toward cast voices.

The Travel Rig Low Down

clubshouse panel ask the VO coachesEvery Friday at 2 PM Diana Birdsall and I co-host a Clubhouse in our room “Ask the VO Coaches.” I am always excited about our awesome panels, and every week I might say it’s “the best one ever,” but holy smokes was this an awesome panel! This week, just in time for your summer get-away, we talked about travel rigs and what gear you need and what you don’t need to bring with you on that much needed trip. Whether you’re going to the beach, to the mountains, or just to see family you missed during covid, we talked about it all, and we talked about it with some of the best in the field! We had George- the-tech Whittam, Dan Leonard, Dave Scott, and Rick Wasserman. So, here’s a review of some of what we chatted about in case you missed our beyond awesome chat!

What’s the Point

The point of a travel rig is to be able to provide continual service to your clients. If you are booking work daily and earn your income from VO, you likely have or need a travel rig. If you are earning your income from voice over, odds are you provide your clients with good quality audio. The goal is to continue to do that on the road. Can you match your home studio? The consensus was probably not, but you can do your best. Dave Scott, video producer with All Systems Go AV, explained that when they cast a voice talent, they need good quality audio. If they are doing an explainer, and there is likely minimal music behind it, there is not a lof of wiggle room to mask reflections. If they are doing a commercial, at least there is a music bed behind it that gives some additional flexibility. It is always important to be transparent with the client and let them know you’ll be out of the studio, and work from there.

The Gear

So you’re probably wondering what mic and what pre-amp you need? You’ll hate me for saying this, but it depends. It depends on how much you travel and what your budget is. Rick Wasserman also brought up the important distinction between what sounds the best and the “in a pinch or in a pickle” scenario. Ideally, you have time to test your gear and determine what compliments your voice, and you are not recording in a pinch, but rather in a planned and controlled scenario.

There are some great travel mics for your travel rig, including but not limited to:

  • Apogee 96K
  • Apogee Mic Plus
  • Apogee Hype
  • Sure MV51 USB
  • Rode NTUSB

For travel Preamps, Dan and George were clear to point out that all tested well in their shoot outs, but that they like the:

  • Steinberg UR12
  • Scarlett Focusrite Solo
  • Mixerface
  • Rode Ai1

Portable Booth Vs. Pillow Fort

Most traveling voice actors start with the pillow fort. At conferences, we typically all post photos of our pillow forts on social media. So, how do you know if it’s time to make the investment in a portable booth like George and Rick’s Tri Booth or the Vocal Booth to Go? Again, the answer is it depends on how much you plan to work while you travel, how much you travel, and how much you book. If you are just doing it to audition, you would not want to spend the money. If you are, however, booking substantial work daily, one of these booths will come in very handy.

During our panel professional voice actor Dave Braxton also joined to talk about recording in a car. He explained that it not only provided the ideal sound proofing, but also offered an escape from his family. My own rig has evolved a lot over the years. I know use:

  • a Vocal Booth to Go
  • a Sennheiser MKE 660 Microphone
  • a UAD Apollo MK II Thunderbolt Preamp
  • a Ninja clamp (essential to good positioning of the mic)

My thoughts as a Coach

We talked a lot about on the panel how having good mic technique matters. You have to set yourself up for success and going out and buying expensive gear doesn’t not mean that you will start booking. Once you are booking, then upgrade. Once you have steady clients, give them the curtesy of letting them know when you’ll be our of the studio. Don’t start new projects on home gear before a trip. Always let them know, and plan ahead,

VO Booth Set Up Q and A

Q: What tweaks have you made to your set up that work well?

When I first built my professional home studio, I worked with my MacBook Air in the booth. For years I did this without issue. About two years in, I noticed that after very long recording sessions i had a lot of fan noise. I had gotten a great tip from Jack de Golia, a brilliant voice actor in Las Vegas, to always have ice packs handy, but after a while this became burdensome so I upgraded and put an iMac outside the booth and a monitor in the booth. This works MUCH butter. Here is a video made from a recent instagram story based on this very set-up question. If you can have this kind of set up, it’s great.

Well Placed Hook with Head PhonesI also recommend having practical hooks in your book. I have a hook for my cans and a hook for my wires. It helps keep things neat and organized.

Q: What is your favorite way to connect for live sessions?

I have a new favorite way to connect: Zenncastr!! I have used this quite a few times recently, especially for long, guided eLearning sessions and it is great. There are no latency issues and it is very easy to connect, even easier than Source Connect. If only one person who is connecting has it, you can send them a link so it eases the financial burden as well. There are multiple price points, all of which are affordable. I love that when we speak during the session, all participants are recorded on separate tracks. So, if you are a coach recording a demo, or a voice over actor recording for a client, you never have to edit out any back and forth as you might on zoom. Then, at the end, you simply upload the audio.

Laura Schreiber Female Voice Over Talent In Her BoothI also do love having Source Connect. So many clients and agents require it. I occasionally need to have support sessions, and they do offer great support from Source Connect. Again, like with Zancastr, there are no latency issues. There are, though, sometimes quirks connecting. Sometimes people are confused with how to use it. If you are not both connecting with the same sample rate, for example, you won’t connect smoothly and it will be an issue, so that all needs to be decided ahead of time.

I also do still like to use zoom for the ease of use. Sometimes, even with the latency issues, it is great to just throw up a link and go! Especially this year, everyone knows how to use zoom, and it is nice to have a stress free connection for a live or guided session.

Q: If you could change anything about your studio, what would it be?

This might sound trivial, but it is not meant to. My booth is a rectangle and I have all this wasted space behind me. I could have saved a lot of money by making it a smaller square. The space behind me goes unused and is just a waste. I have to work with an acoustic board behind me, so I don’t even get to enjoy the roominess. 

I have blogged about this before, but I would also choose a different color foam if I had the option.  I hate that my white aurelex foam has turned yellow. I would either do panels or grew foam next time around.

Q: Can a voice over coach help with your studio set up?

A good voice over coach is still not an audio engineer. While I love to talk about gear with other voiceover actor and with students, it it is fun to talk about set up, I did not go to school for sound engineering. I do not have a degree in audio engineering. Everything I know about my studio, I know from having training with various audio engineers. As a voice over coach, I do work with students on microphone technique, but that is NOT the same thing is telling you how to set up your studio. Dave Scott, who  do demo production with, can give you expert advise on how to set up your booth and guide you about what to invest in and how to actually set it up.

Q: What do you wish you knew when you first started your voice over studio?

Travel Rig then and NowI wish I know how important a good travel rig is. It took me five years to get my travel rig to sound as good as my home set up. That is WAY too long. If you are just starting in voice over during the pandemic, I realize it is hard to imagine actually packing up and leaving home, but when we do, the rig matters.

I wish I know how important my website was. I spend so much time working on inbound marketing through my website now, but my business was going for several years before I figures that out.

As An eLearning Narrator Your Audience Matters

Last Night on Clubhouse

Last night I had the delight of participating on a Clubhouse panel with some other fantastic, professional voice over actors Identify Your Audiencefrom the US and Canada. Our focus was on marketing, and even as a panel member, it really got my wheels turning. I could not help but think of the specificity of my recent outreach, especially in eLearning. I have worked so hard to build my business as an eLearning narrator, and I think in order to really reach prospects, you need to think about who you are working with. From the very beginning of the process through the completion of the booked work, understanding your audience is essential to success as a working female narrator in eLearning.

From the Marketing…

Often our relationships with eLearning clients, whether they be independent instructional designers or larger companies that create content, begin because of marketing efforts. Sometimes our direct marketing is the first interaction a new eLearning client has with a voiceactor. You would never want to send a government client with classified, sensitive content a jovial and silly email that would not resonate. Likewise, you would never want to send a cosmetic company a super serious message that shows no personality.  All of our outreach needs to have the end user, the eLearning client in mind. Our audience matters in every single correspondence.

Design matters to the audienceSocial media content, across platforms, needs to have the target audience in mind as well. This can be a bit trickier, as it is harder to control who sees your posts. You can, however, try to catch the eye of a specific group of clients or prospects by being clever about your target audience. If, for example, you are posing on Instagram and you want to reach out to instructional designers, both the content you use and the tags that you include in your post matters. Another way to grab your audience is to tag influencers and professionals in that field. Quote them. Have a conversation about them. If you want to work in eLearning, you need to be part of the dialogue.

Another tactic I often use is  brochures. I use them to reach out to clients in eLearning when at eLearning conferences when I would love to show my website and samples of my work but cannot because we are in a huge convention center. I find that having a very branded prop is useful in establishing myself as a professional in the field and helps draw the prospect in. Again, in terms of being mindful of the audience, since conference have a range of content creators, the brochure needs to be professional and have all the essentials.

To the Audition…

The eLearning audience must be top of mind when auditioning. You always have to know who you are talking to, and what the audio is being used for. Imagine if you sent an upbeat and humorous toned training to a group of CPAs, it would not fit. Conversely, let’s take the example of the cosmetic company again, because I happen to love doing trainings for them. Imagine if you were doing training for hair stylists about hair brush options available and instead of sending a relatable, warm tone you sounded like a detached CPA. That also really would not work. When submitting eLearning auditions as a female narrator, the audience drives the read you give. It informs the tone, the texture you add, the variation in the pace. An energetic happy read has a very different pace than a professional, thoughtful read. Again, the audience in eLearning matters.

The Booking….

Size of Audience Doesn't MatterWhen you book an eLearning job, understanding the audience or the enduser is so important. For example, I was recently cast in a training for a local hospital: RWJ St. Barnabas, right here in NJ. It was a caller training. When I first read through the script, in my practice read, I sounded warm, gracious, and welcoming. I then re-read my roll: “Bad Caller.” I was the example of what not to do. Everything I just rehearsed had to be thrown out the window and the opposite read was needed. I was talking to the same people, but I was the example of what not to do, and I had to be the best “Bad Caller” they ever heard. Your job as an eLearning narrator is to make it obvious. They should not have had to figure out what was wrong with my phone skills, so I had to make every effort to clearly connect with the listener. Keeping the audience in mind should inform and transform every eLearning performance.

The Rapport with Your Clients

As a voice over actor, understanding your audience is what makes life easy for your clients. If you don’t get it, the narration will never be right. It makes it easier for everyone for you to clearly connect with the audience you are speaking to in eLearning.
