Do You Have a Tool You Can’t Live Without?
The first few years I ran my business, I used a CRM called Nimble. I’ve said this often, but as a professional voice actor, whatever genre we work in, we wear a lot of hots. As a small business owner, tracking our clients, prospects, and outreach is essential to our success. Nimble offered some features that I needed, but to be frank it was way more complicated than what I needed and it drove me a little crazy. I almost felt tormented by it.
About four years ago my world was rocked when Dani States created her amazing tool Voiceoverview. It’s a business tracker with a CRM component. At the time of its inception, Dani was then partners with my dear friend Joe Davis who everyone knows from Voice Actor Websites. That’s how I first heard of it. So, before I go into Voiceoverview’s amazing features and why you should sign up today, I should tell you a few other details.
Last Friday Diana Birdsall and I were lucky enough to have Dani join us on our Clubhouse panel. Dani answered our questions and those of our guests and I learned SOOO much! How Voiceoverview Began
Dani explained that she was home, on unemployment, and started working as a voice actor about eight years ago. In order to track her progress, she had created spreadsheets. Dani’s husband took it a step further, and actually created a dashboard for her. Dani began sharing this with her friends, and although they occasionally messed it up, Dani realized she had created something that would benefit the voiceover community as a whole! Dani then began chats with Joe Davis, who as I mentioned become Dani’s business partner.
The Beauty of VOV
Dani explained that Voiceoverview is a business tracking tool built so that voice actors can understand the scope and breadth of our business. As a professional voice actor and voice over coach, I cannot tell you how essential such tracking is to your success. As we chatted, Dani was saying that the difference between having a business and having a hobby is tracking and analyzing your data. Whether you got voice over work through rosters, agents, LOLB, and casting sites, you need to be able to see where you work is coming from, how your numbers change, and what genres you book from whom. VOV allows you to see and analyze just that. The biggest barrier to using this tool is failing to incorporate it into your daily routine. Dani explained that it should be open on your computer all the time, and Diana and I said that we both use VOV throughout the day every day. Finanaces should not be a barrier to use, as it is $9.99/month or $96/year and Dani assured us it will remain at that rate, so it really is quite affordable, especially relative to other CRMs.
VOV’s Special Features
One of the features I was super excited to learn about was the ability to duplicate a job! I had no idea that if you have another booking with the same client you can do this! Wow, my mind was blown. We talked about favorite features including integration with WavesApp for invoicing, allowing for seamless invoicing and tracking of payments. Dani said that Fresh Books and Quick Books are coming soon! We talked about the year to date and past year comparisons. We also talked about the top ten client feature. Not only can you see you work with your top 10 clients during this year and in years past, but when you click on it you can get a ranked list of all of your clients from all time! We also talked about the reports feature. As a user, you can run reports on any data: contacts, jobs, expenses. You can then export and extract the data. Lastly, we spent some time talking about job reminders settings, and as I go through me notes I realize that I need to log in and reset my own! These job reminders can be set to off, 30 days, 60 days, or 90 days. The features are remarkable and were created by a voice actor for voice actors.
Some Questions from our Guests
New voice actor David Jacobs said he is using Hubspot at present and asked Dani if he can import his contacts? David also wanted to know if he can connect his email for tracking purposes. Dani explained that if hi has certain components like full names and email then yes, she is happy to help import contacts. She also explained that at the moment there is not email tracking and she herself uses something called Cloze to do that. Diana and I chimed in and said we both switched to VOV from Nimble and are really happy with it as a CRM. Dani also offered sound advice that it is really important to start tracking your business as you build it so that when your business grows your system is already in place and you do not have to get used to a new one. You need to have the tools and systems in place to manage your business.
Philip Koloctonois wanted to know about contacts and if bulk reminders can be set to reach out every 30 days. Dani set at the moment that is not an option but she loved the idea and will implement it. She also said she is exploring integration with Cloze for such a feature, and it depends on their API.
How It Has Changed Dani’s VO Business
Dani said she is far more motivated since she has this in place. She also has a goal of doing at least 100 auditions per month to continue to bring in new clients, and it helps her track that ratio. She also said that the invoicing feature has been huge for her. I can tell you that Voiceoverview has been a game changer for me too. I am not guessing and as my business trends shift, I understand why and where it is going. It helps me make informed choices about my marketing strategy as well.
Advice for Other Entrepreneurs Thinking of a Side Gig
Diana asked Dani if given the opportunity, if she would do this again and without a moment of hesitation she said yes! Dani just finds this so valuable and really wants to help people. Dani did not start out thinking that she was creating something that she could sell, she created something she needed and it turns out others do to!

If you’re a professional voice over actor like me, and like me you’ve been in the business a while, then you know it is not so often that we get to speak directly with the folks who run casting platforms. Or with agents. Typically candid conversations like this only happen at conferences. It just so happens that one of my VO besties, the amazing Liz Atherton, who for many years was the founder and owner of Texas based TAG Talent, is now the brains behind Cast Voices, the newest casting platform that is sure to bring great things to our industry (know wood). Liz has an amazing team, including Nick Krause, an on-camera talent who also does some VO, and Bobby and Elizabeth Alcott. They have all worked really hard to bring us something that us new and different. They are extremely transparent in all of their practices, and they want to create something that raises the bar. In this scenario, we have unique, inside access.
f you didn’t know, Diana Birdsall and I run a weekly Clubhouse in our Club “Ask the VO Coaches.” Last week, Liz Atherton and Nick Krause came into our club to chat with us all about the awesome features of Cast Voices. What made the hour special was that many guests got to ask their questions directly to Liz and Nick, and there was a great back and forth exchange. I noticed several things. First, Liz comes from a place of grattitude. She is so profoundly appreciative of the support they have had thus far from the voice over community. She views the process as extremely collaborative and despite her many years as an agent, speaks to every single talent with respect and patience. Next, Liz and Nick care very much about being clear and transparent about all practices. For example, if a project manager on the platform posts a job for $500, the talent sees the job as $500. They are not chipping away at it or altering anything. I also noticed that they are willing to engage in community dialogue. When a bling talent commented about accessibility issues on the site, Nick was extremely responsive and will to hear all suggestions about how to improve the tech. This is a team determined to work hard for the voice over community.
Every Friday at 2 PM Diana Birdsall and I co-host a Clubhouse in our room “Ask the VO Coaches.” I am always excited about our awesome panels, and every week I might say it’s “the best one ever,” but holy smokes was this an awesome panel! This week, just in time for your summer get-away, we talked about travel rigs and what gear you need and what you don’t need to bring with you on that much needed trip. Whether you’re going to the beach, to the mountains, or just to see family you missed during covid, we talked about it all, and we talked about it with some of the best in the field! We had George- the-tech Whittam, Dan Leonard, Dave Scott, and Rick Wasserman. So, here’s a review of some of what we chatted about in case you missed our beyond awesome chat!
My Rig
If you’re in voice over, and you’re on Facebook, then you know how many groups there are for voice actors. There are so many. Why do I think voice actors spend time posting, commenting, and chatting on Facebook? Well, when you work alone in a padded foam booth, it’s really nice to have people. There is a really amazing, close knit voiceover industry, and even during covid, we all stayed close by continuing to chat on places like Facebook. In the past two weeks, I had to Facebook anniversary reminders of
friendiversaries with close friends. Seeing these video reels flash in my feed brought me profound joy. It reminded me of how much I have built. If you have the privilege of working in voiceover, and you are successful, you know that it takes a lot more that years of long days of hard work. Success in voice over also takes the support of awesome industry friends who are there to support you on good days and bad.
If I had to go back to the very beginning, and try to unravel this thread, I’m not really sure how my multitude of VO friendships and connections started. It may have begun with Anne Ganguzza and VO Peeps. I certainly “met” other voice talents that way. It may have begun with taking zoom classes through GVAA and keeping in touch with my classmates. It may also have begun with attending Uncle Roy’s famous BBQ. As a newbie, all of these made me feel part of a community and helped me see where I fit in. When you are just starting out, it is sometimes hard to push yourself to go. You might worry that no one will talk to you. It is so, so important to go and meet people face to face.
Conferences are an AMAZING place to bond. It literally does not matter which conference you pick, they are incredible. Yes, there is lots of learning and sharing of knowledge. But, in truth, as we all learned from doing everything remotely this year, the educational aspect alone is not what gets us to leave our families and hope on a plane. It is for sure the social aspect of the conferences that is worth more than gold. It feeds your soul and builds you up. The interactions are genuine and you will make friendships that endure. The women that I speak to daily I “knew” before I met them in person, but seeing them at WoVo Con and seeing them at VO Atlanta was our time to connect and really get to know each other. We lift each other up in every way possible.
week I co-host a panel with one of my VO besties and fellow VO Coach Diana Birdsall. Our club is called “Ask the VO Coaches” and recent panelists have including Dave Scott from All Systems Go AV, Randy Thomas, George-the-Tech Whittam, Dan Leonard, Shelley Avellino, Bev Standing and more! Lot’s of voice actors come into the room and we chat about topics that matter to us. Clubhouse has given us a space to support each other and have an active and on going dialogue that raises the level of performance of the industry.
