Mindset Matters in Voice Over

Construction and The Foundations We Establish

Recently my husband’s parents bought a ranch around the block from us. They needed to gut renovate it and my brother-in-law is the project manager. It has been quite the undertaking, and my brother-in-law has done everything, from day-to-day interactions with all of the various crews working on the job site, to making choices about every material to use each step of the way. He has had to sort out bids and come up with various plans all while weather and kids pose on-going challenges.

This parallels running a voice over business in many ways. In voice over, like with a construction project, the mindset matters profoundly. The foundation of our business is ours to build, and to create by our own design. The intent of this blog is to think about a few key components of mindset related to voice over.

What are your Goals?

GoalsWhen you build a house, sometimes you are doing an update to make a space your own and sometimes you are doing a gut renovation. Either way, from the outset, you need to consider your goals for the project. In voiceover, knowing your goals enables you to have direction in your daily pursuits. If you know where you want to be, and if you have a clear vision for yourself, it is easier to work towards reaching those goals. And the goals you have might well be completely different from other voice talents you know. For instance, I do not do medical narration or audio books. Two of the women in my accountability group work in both of these genres, so their goals and their day to day marketing endeavors look quite different. As a professional voice over actor, I am very clear about my passions and where I want to spend my time. This is a key component of my mindset.

Business Mindset

Have a Business MindsetEven though I am a working creative, from the start I have run my business like a business. Our mindset and the choices we make determine whether voice over is a business or a mere hobby. Do you want this to be your career or something you simply dabble in? For me, from day one, this was going to be a career. There was no other option. When I decided to pursue voiceover, I did so in lieue of returning to teaching, so I had the luxury of plunging into VO full time from the get go. Besides working full-time, other choices helped establish this is a business. Using a CRM is essential. This helps you track all of your outreach, your costs, your bookings, your contacts… all of your efforts in one place. I have blogged before about my experience using Voiceoverview, but I truly believe this specific CRM is essential to the success of my business.

Having an invoicing system and being consistent about it is essential to a business mindset in voice over. After all, it’s a business and you want to get paid! I know many talents who invoice weekly. For me, I invoice with the delivery of the finished audio for every single booking. When I send the audio, I send a link to the invoice. If you happen to use Voiceoverview, it integrates with Waves App, Freshbooks, and Quickbooks! Ultimately you need to decide how often invoicing will work for you, but for me I love doing it at the time of delivery because it means no job ever slips through the cracks.

Another aspect of a business mindset is having a business checking account. No one told me about this when I launched my voice over business, so I mention this often to try to make it easier for those starting out. I actually learned the hard way about 18 months in to my voice over journey. I tried to deposit a check at the bank at my local branch and suddenly they would not accept it. It was an eye opener, as by this point I perceived myself to be running a small business. So, if you are a solopreneur, you must actually also open a business checking account. This, too, is crucial.

Make Your Studio A Pro Studio

Pro Home Studios are a MustIf you really want to succeed in voice over, and establish yourself as a professional voice talent, you need to have a professional studio. First, it is essential to maintain business hours. As a business owner, if you want to be available and accessible to your clients, you should have set business hours each day. For me, I typically work from 8 am- 6 pm, and schedule breaks for myself at my lunch hour for things like exercise classes or seeing friends. I also use my lunch hour to make myself available for consultations with new students or people looking for demo. But, the main point, is that I am available to clients all day, every day, during regular business hours.

Next, it is also important to have a professional home studio set up. I often have folks new to voice over ask me if it is really necessary to go to the effort and expense of buying equipment and if they can just rent studio space. I can tell you unequivocally that if you intend to succeed in voice over you simply MUST have a home set up. Further, it is not enough to have a basic home set up, you have to have a quality set up so that you produce pristine audio. This requires a booth with acoustic treatment, gear, and training in audio engineering so that you are capable of mastering your recordings. Once this is in place, you are ready to have your business up and running.

Mindset matters. Every choice you make matters. Run your voice over business like a business from day one.

Client Communications Checklist: How to Best Communicate with a Voice Over Client

You nailed the audition! Your voice is exactly what the client wanted and it’s that project you had a special feeling about. Now comes the difficult part; maintaining successful client communications throughout each stage of the project. 

 

It might seem easy since you already landed the job, but keep in mind that clients need to see value to continue the relationship or work with you again in the future. So when working with clients, whether it’s an audition, a direct booking, a booking from an audition, or a repeat client, you only have one chance to get that first communication right! When they reach out to you, it is up to you as the voice talent, to set the tone for how the communications will go. A warm, friendly, helpful response goes a long way in every scenario and helps to build the foundation for a great talent-client relationship. 

 

Do your best to make them happy every single time!

 

Common miscommunications when working with clients 

 

Miscommunication issues can take many shapes and forms. Messages can be taken out of context by cultural differences and delays can creep in if both parties are in a different time zone. 

I have worked with international clients and had some miscommunication issues, so often the more information that you can spell out at the start of work, the easier it is for everyone.

 

Worse-case scenarios: A client gets offended, gets the wrong impression, or pulls out of the project. Or a voice actor could jump the gun, miss a deadline, or drop the ball altogether by missing an important project requirement. 

 

How can these negative situations be avoided? 

 

From the first communication with a client, it is best to understand the intentions behind the project. If you can, ask questions about the tone of the project and specifically what they are looking for. Knowing the answers to these and other vital questions in advance of doing the work leads to successful client communications and also confirms that a booking is a booking.

 

To help you with this, here’s a checklist of vital points that you need to go through beforehand. 

 

  • Ask the client if they have a scratch track. 
  • Ask if they know what music they are going to use. (This helps me understand the tone and the pace of the voice over.)
  • Confirm the file format. WAV, MP3, or both?
  • Confirm if the client needs raw or edited audio.   
  • Confirm whom, where and when to invoice. 
  • Confirm your service agreement, payment, and revisions policy. 

 

 

A key takeaway for clients, in this case, is to contribute to a faster process by responding in a timely manner, being transparent about project details, and keeping a voice actor in the loop regarding any changes or delays. 

 

How to manage client expectations  

 

In general, all back and forth client communications should be prompt. If you are replying to an audition request, it is to your advantage to submit on the early side. Personally, as soon as I get an audition that looks appealing, I try to submit it. If you can be in the first ten submissions, that is ideal. Sometimes it is hard because of differences in time zones, or the demands of another project, but early submission is the key to getting booked. Once the client hears what they need, they will cast the job. They also would rather work with a talent who is responsive. 

 

When replying to emails, whether for an audition or for a booking, being available makes you easy to work with. If you reply quickly and are transparent in your business practices, you are far more likely to gain a client. Timing matters. If a client has a deadline, you do not want to be the reason why they have to push their deadline. Instead, make it easy for them to get what they need by both responding promptly and submitting promptly. 

 

Make all replies personal so that the client feels heard. Be sure to respond to all of their asks in your email and cover all bases. This also includes your turnaround time, pickup/revision policy, and payment terms. 

 

Do’s and Don’ts for setting the right expectations  

 

  • Don’t feel shy or afraid to outline your terms. Clear and transparent client communications benefit everyone.
  • Do find out the client’s intentions behind the project. Are they trying to increase sales, or drive more traffic to their website? And what is their target audience?
  • Do ask about the tone of the project. Often, the client has a specific sound; a voice in their head that they’re trying to match. Asking for an example such as a celebrity, similar sound, or even one of your samples could point you in the right direction. 

 

But how does this translate into a written message when working with clients? Here are some specific templates that can be copied and tweaked to suit your needs. 

 

 

Template 1: If you missed a client’s message  

 

Hi, Name, 

 

I am so sorry for the delay! 

 

I had to ________, but I am definitely available now. I always aim for professional and fast communication so I really apologize for this. 

 

If you’d still like to move forward with this, I’m more than happy to make it up to you by adding ____ free revisions instead of _____. And also willing to _________, as a gesture of good faith.

Turning a VO Booking into a VO Client

So You’ve Booked It!

Congrats, you’re a working voice over actor and you’ve booked a gig. Let’s say its a VO for a commercial, and let’s say for the sake of this blog that you booked this 30 second spot on your favorite pay-to-play. Your stoked not just because we are always pleased with every booking, but because it’s actually a rate you deserve. Yippee. So, how do you take this one-off and turn it into a client that keeps coming back over and over again for years?

The Platform Matters

The Platform MattersIn general, the platform you are on matters! Some pay-to-plays and even many rosters do not allow you direct interaction with the clients. The client belongs to them, not you. Their goal is for the client to come back to their site, to their platform. You, the paying talent, are only a means to that end. Other pay-to-plays, in contrast, let you interact directly with your client. Do your homework and start booking on those sites. Wouldn’t it be great if the next time the client needed you they just came directly to you, and you did not even need to audition? And wouldn’t it be great if that happened over and over with multiple clients? That’s how you build a business!

Bending Over Backwards

Bend over backwardsSo let’s go back to this client that you’ve booked on this pay to play for a commercial that you can interact directly with. Let’s say this job comes in on a Saturday and it’s a “Rush” job. Do you actually have anything else going on? Did you really need to re-shuffle your life to accommodate them? To me, if the client is already paying a nice rate, I would rather dazzle them with my super fast turn-around time and ease of availability than nickel and dime them. After all, how does it make you feel when you are charged extra for every little thing by a service provider? Instead, make it easy for the client to get exactly what they need as soon as they need it. Do an awesome job right away. Do you know what will happen if you do your job well and quickly? The client will be happy.

Building a Relationship

Get to know your clientsIn the course of your email discourse, try to start getting to know your client. You can start with the basics: ask them how they are and share a tidbit about your day or your week. If you live in a different region, chats about the weather can actually be riveting. I happen to be a working mom, so I love bringing that into the fold.  Holidays and birthdays are also great ways to get to know people. Studio pets are also a wonderful conversation starter. Then, when you speak next, circle back to what you already know.

Express Grattitude

Every job matters. Clients have a choice when casting and we are lucky to book what we book. An attitude of gratitude goes a long way. At the very least, send a hand-written thank you card. If you have an international client, send a virtual card. Let them know that you appreciate their business and act as if you are part of their team, because you are! Wish them well when presenting the finished audio, and mention your next collaboration. And in thanks. Sometimes, for larger projects, a thank you gift is appropriate. From agents to project managers to video producers to creative directors, it depends who you are working with and what the project was, but I have sent gifts ranging from Starbucks gift cards to chocolate to giant containers of popcorn.

Keep in Touch

Keep in TouchMake sure to maintain a relationship with your clients! You already know they like you, they already cast you once! So, don’t lose contact. Sometimes newsletters are great for reminding them that you are still available. More personal quarterly check-ins are, however, extremely important. You can share a tid-bit of wrk that might be relevant to them as well. You can check out their social media and new content and engage and comment on it. It’s really important to be genuine and actually have something to say, but it’s also important to simple stay top of mind. Your voice many not be perfect for every project, but you don’t want to miss out on a casting simply because the client has forgotten that you exist. Be present. Engage. Be the talent they are thrilled to hear from.

Voice Over Must Haves To Launch

As a voice over coach, I get a lot of questions like “Do I really need…” Or, “Oh, you think I should get…” and I am surprised by how surprised my voice over actor students are when I give them the simple answers. Yes, you do in fact need all of these things to successfully launch your voice over business. So, here is a quick check list of sorts to make it easy to know what is essential for you as a voice over actor and small business owner. Without all of these things, your business simple will not go:

Website

Your voiceover website is your virtual storefront. You need to be found. Last week we had Karin Barth from Voice Actor Websites on talking about all that is essential, but you want to bring potential clients and repeat clients to a place where they can hear you and only you. You want them to hear your demos, your booked work if you have it, and be able to contact you easily. Everything else on your website is gravy. If your website does not exist you as a voice actor do not exist. It’s that simple.

Source Connect

If you are a professional voice over actor in 2021, you need to have Source Connect for your home studio. Many agents send auditions that stipulate that the talents must have Source Connect. Moreover, those same agents will not even sign you without the paid version of Source Connect. Telling them you will get it when work comes in is not sufficient because the folks from Source Connect need to map your ports and you cannot do this yourself. Before you pitch yourself to agents, order Source Connect and get your ports mapped!

Pay to Play Memberships

You need a source of auditions. When you are starting out and have no clients, Pay to Play sites like Voice123, Bodalgo, and Cast Voices are a great way to find and book work. These sites are wonderful because they allow you to turn bookings into clients. There are other platforms that prevent interaction between the end user and the voice actor but still charge a premium for voice over actors to use. I prefer these sites as they allow you to build a rapport with the clients and do not interfere with direct interaction between you and the client. While some in the industry may scoff at paying money to build your business, the truth of the matter is that many in casting still want to present their clients with options, so they still prefer to use these platforms. These platforms have been around for a while and you can find some great clients on them. While I advise being selective with which platforms you go on, I also advise using Pay to Plays to get your business going.

Social Media Presence

At this moment in time, if something happened to you in your voice over career, and you didn’t post about it on social media, then basically it never happened. As professional voice over actors, we are only as strong as our last booking. If people don’t know what is going on and that we are working, then we have no “street credit.” There is no one other than you who can create a buzz around you. It’s your business, and you can either shine amongst the stars when you have something to celebrate or keep it quiet and wilt in the dark of your studio. Between Facebook, Instagram, Twitter, and LinkedIn, you can find the platform where you feel most comfortable and most relevant, but you need to put yourself out there. Much like your website, if no one knows you exist, you don’t.

Business Cards

Voice over is an unusual business. Anyone we meet could be a potential client. We are not just cast be casting directors and video producers. Often and accountant or a lawyer that we meet at a dinner party is just as likely to need us for their phone system as a talent agent it. Essentially anyone we meet who has a business can become a client. Believe it or not, other voice actors should be treated as potential clients as the more entrenched you are in the industry, the more we all refer other work to each other. So, make things simple. Have a business card on hand at all times. You never know when someone will be thrilled to meet you and will want to get in touch later. Your business card should include: your name, your best phone number, your email, your website, perhaps your Source Connect info, and perhaps the genres of voice over that you work in.

Talking VO Websites with Karin Barth from Voice Actor Websites

In Good Company…

Karin Barth, Laura Schreiber, and Joe DavisSometimes you are blessed with knowing the right people, and knowing Joe Davis and Karin Barth is a blessing indeed! While I am fortunate to have worked with them for years on my website and SEO, I am doubly blessed to call them dear friends and amongst my favorite people in the world. When I have important decisions to make about my business, I trust them not just because of their superior expertise, but because they are truly mensch (someone to admire and emulate, someone of noble character) in every sense of the word. I have shared holidays and dinners out with them, they have been to my home and know my family, I share personal details of my private life with them, so when I tell you that I trust their guidance for websites… I  mean that I fully and completely trust what they have to offer.

So this past Friday, even with just returning from Dallas and the Jewish holidays to boot, Karin Barth made time to speak with me and Diana Birdsall on our weekly Clubhouse “Ask the VO Coaches” about all that we could jam in related to websites and SEO. We had some great participation and all were dazzled by Karin’s brilliant insights. In case you missed it, here is a brief recap of some highlights.

Why Websites Are So Important

Karin put it simply: You want to get your voice heard, your demos heard, and people to hire you. I always tell me coaching students your website is your virtual storefront. She did not use those words but that is how I think of it, and your business really does not exist if your website is not up and no one can find you. A regular to our Clubhouse room, Vijayan, offered that people know that you value yourself and your work once you have a website. He also said that prior to his website, he had an issue with transparency in his country. There was always a middle man. Once he had a website, he was able to interact with clients directly and could negotiate on his own. It was so refreshing to hear his reflections, as I had my own website before my business launched, and I had never considered this issue.

What Voice Actors Need to Start

Karin Barth and Laura SchreiberKarin said in order to begin you need to have had some coaching and completed a professional demo. As a voice over coach and video demo producer, I cannot tell you how happy this made me to hear. She shared an anecdote about a woman who wanted to do a website and had no demos. This lady thought she could just record some stuff on her phone. Karin said in this scenario they advise folks new to voiceover to instead invest in coaching and then revisit a website down the road.

We then asked Karin if voice actors come to them with a Wix or Square space page if they can work that. The answer is yes, but there is an advantage to having a Word Press page. Since June, Google has changed its core web vitals.  Word press makes it easier to comply.

Diana then asked Karin if we should be regularly changing our videos for our SEO. I was fascinated because while I typically add new videos, I tend not to delete old ones as I am really proud of the work I have done and get attached to my content. It never occurred to me to swap it out. I also like the idea, personally, of amassing a large body of work. Anyway, Karin explained that the idea is to train the google bots to come to the site. You want to continually add more relevant content so that your site continues to rank.

Features All Voice Actors Should Have

I of course found this interesting:

  • Demos: They should be downloadable, not just playable. Karin also mentioned you should be mindful of how you name them. For instance, don’t just label it “commercial demo” because a casting agent could be very confused if they download it and it does not have your name.
  • Bio: There are a few important details that Karin mentioned. First, be sure to have unique, original content and not to use the same bio on Linked In, your website, and other places! Next, while folks are often excited to share their backstory, Karin suggests starting with where you are now. What service do you provide? What are your selling points?
  • Contact Form: I will tell you I have changed mine over the years but they do an awesome job setting this up for you and Karin also sets up “recaptcha” so you don’t get spam.
  • Testimonials: This is so important to help build your trust factor
  • Client List or Client Logos: Again, this helps with your street cred.
  • Videos: We chatted about how people like to take in information in different ways, and offering video to people who do video production just makes a lot of sense!

Insights From Google Analytics

We also spent a little bit of time talking about Google Analytics and what you can learn from them. Your bounce rate is how long someone stays on your site, and Karin explains you can actually look to see the behavior flow and try to see if there are trends in where they drop off. This can give you an idea if you need to add a different call to action. Basically, the longer they are on the site the better. I found this fascinating.

Final Thoughts…

Those of us who work with Karin and Joe know we are lucky. They know their stuff and there is a reason so many of us turn to them.

What I Wish I Knew About VO Business When I started

As I reflect on the trajectory of my career as a professional voice over actor, I am blessed with how my cookie has crumbled.  A combination of hard work, coaching, and making the right adjustments along the way has served me well. I however, am lucky, as I came into voiceover later in life. When I started in voice over as a second career, I was highly educated with an advanced degree. I’m also surrounded by professionals in my family. I happen to come from a family of attorneys and get more advice than you could ever think possible. That said,  in talking to some newer voice talents recently, there are a few things that I wish I had known about the business side of things when I get started in voice over. Here is a countdown of my top 5:

Business Plans are fluid5. Business Plans are Fluid

When I got started in voice over, I spent months developing a business plan. Little did I know that as my goals shifted, my business plan would shift. While my initial plan worked when I only had a few demos under my belt, as I began to target more genres and add multiple revenue streams, my business plan needed to evolve to address my growing and widening ambitions. While I am so proud of how I launched, I then had to learn to tweak and adjust to go after new goals as well. This ranged from social media to direct marketing to presence on pay to play sites. All of this was part of my business plan and as my target audience evolved so did my plan.

4. The CRM Matters A LOT!!

CRM MattersSo different voice actors in the industry use different CRMs. As a voice over coach, I can tell you that it matters less which one that you use and more that you use one!! I myself started with nimble and switched to Voiceoverview. I love Voiceoverview and have interviewed creator and owner Dani States and blogged about that. For me, this CRM meets all my needs. Whether you use Voiceoverview, Upper Level, 17 Hats, or one of the many others, you need to be aware of several data points:

  • who you’re reaching out to, how often, and if they are replying
  • your income
  • your expenses
  • your audition to booking ration

If you are lucky, you can create reports that go beyond this. like how much of your work comes from repeat clients or from agents, are you booking from one pay to play more than another, where do the bulk of your expenses lie. These reports give you invaluable insight into future choices that you might make. Initially when I started in voice over I simply made excel spread sheets. I can tell you after years in the industry that the data that you get from a CRM is essential to running your small business.

3.  Have a Separate BUSINESS Checking Account

Need a Business Checking AccountAs a soloprenuer, you need a business checking account. Even if you are not an LLC, you might be able to get away with depositing work checks or transferring money into your personal checking account for a little while.It is, however, better for you to actually have a proper business checking account. I’ll share a little story. When I started out in voice over I was luck to be added to multiple rosters pretty early on. One of those rosters sent me work weekly and paid me monthly. One day I went to the local branch with the check as this was before the days of mobile deposits. I had been depositing monthly checks from this client for almost two years in what I thought was a “business” checking account. It was a separate account that I had opened for my business at my local Chase. Somehow, Chase had just opened another checking account, but it was never designated a “business” account. Instead, it was just a second “personal” checking account. So that this does not happen to you, if they do not ask for you business’ legal formation papers, it is likely not a business account. That day, the bank refused to deposit the check. Instead, I had to gather all the documents I had for my business which happens to be an LLC and at that point, several years in, I opened both a business checking and a business savings account.

Now, you might be thinking, why does she have a business savings account to? Well, as a business owner we have to take out and set aside our own taxes. I pay quarterly taxes. Every single time I get pad, I set aside 40% into that savings account. So, I encourage you to have BOTH a business checking and a business savings account.

2. Save for Retirement- Especially if you are Non-Union

Save for RetirementI wish someone had told me when I started, as I did not think of this until several years into my career. Think about all the bills you pay. Some day, when you stop working, don’t you want to have something for yourself? Every single month I auto deposit a nice amount into my 401k, and I am proud to say that I am setting aside as much as my husband does every month. Now, if you are a union talent, you will retire with savings. For those of us who are non-Union, all you have to do is set one up and then go to your bank where you have your work checking account and auto fund it. I have my 401k at Charles Schwab because I was advised that their fees are low.

  1. Rome Wasn’t Built in a Day

Rome Wasn't built in a DayWhen I started my business I spent a lot of money very quickly. I invested a lot and planned to be a huge success.  While I was fortunate and success did come, expenses mount quickly. I know see ways that I could have spent less and  spread out my investments over time so that as my business grew I re-invested in myself. Be mindful of your money.
