Pickups and Revisions: What’s Your Policy?

Why Voice Actors Need a Policy for Pickups and Revisions

As a full-time, professional voice actor, I love working with repeat clients. I love delivering finished audio I can be proud of, and over the years I’ve come up with a few strategies to reduce the number of pickups I have to do. It is important to understand the difference between pickups and revisions, and how live sessions come into play.

Just What is a Pickup

A pickup implies that you, the voice over talent, have made an error, and typically any and all performance errors are covered by the actor regardless of the size of the job’s budget. This could mean that you misread the script, it could mean that there is an odd noise in the recording and it is obscuring your work, or it could be a performance error. Perhaps you were meant to sound calm and relaxed and the client feels you give off an agitated vibe. Any of this constitutes a pickup. When I book a job, I do ask clients to give me the courtesy of asking for pickups and deliveries within 48 hours of when I give them the finished audio. Most do. Some don’t. How flexible you want to be is up to you, and makes a difference in how you feel about your relationship with the client.

What is a Revision

A revision is different than a pickup. A revision implies that the client has changed the script. Typically this means that they got your VoiceOver audio back, reviewed it, and then decided to make tweaks. For me, for jobs over $250, I include one round of minor revisions which I define as less than 20% of the script within 48 hours of delivery. If it is after 48 hours or more than 20% I charge $75 per 30-minute revision session. If the revisions are more than 40 percent of the script I adjust the rate. If the script starts to look more than 3/4 different and it is a long narration, then it becomes a new job, and negotiations begin. This is not common. In all my years as a VO talent and coach, the two times this has happened, the clients were upfront about the revisions and offered me a new rate before I even had to start worrying. If you are noticing, they are noticing. In terms of the turnaround with revisions, again, you have to decide what you can live with. For example, I work with some eLearning companies that take quite a while to review their work. For me, this is not a problem and I am happy to wait.

Throwing a Live Session into the Mix

So you have a session for Source Connect, Zoom, or Skype. Wonderful. What should your pickup policy be? Audio from a live session is always final delivery. Period. The session should not end until the clients have what they need. This is the industry standard. If the client comes back after a life session and wants a re-record, you are entitled to a fee for an entirely new booking. Basically, you have made yourself available to however many people from their team are on the call, from the producer, to the creative director, to the folks from the brand. They have plenty of time to give direction, chat, and get all that they need from you. You are not in any hurry. If, after the spot is produced, they decide to take the work in a different direction, that’s fine. They can pay you for another session.

Tips to Avoid Pickups and Revisions

In the end, here are some tips I have come up with that leave me having to do very little pickups.

  • On jobs under three and a half or four minutes, I deliver at least two takes. If a client has options, they are less likely to come back to you wanting more.
  • I deliver wilds of the end. If there is a talk line, give them lots of options of the end as you would in a live session.
  • If there is something that may have an unusual or unexpected pronunciation, either try to call the company and hear how they say it, or fine it on YouTube and avoid having to do the retake for that. If you can’t find it, give them wilds of the word or sentence with different pronunciations.
  • Try to review your audio several times before you submit it. If you are new to VoiceOver, this is a reminder that you need to do your editing for correctness to script before adding EQ/Compression/Effect stack.
  • If you have a long narration, I actually edit page by page. I go through each page twice before moving on to the next one. I catch my errors and it gives my voice a break.

Ultimately Why Pickups and Revision Policies Matter

In the end, we want our clients to have a great experience working with us. We want them to come back to us over and over again. If we lay out our policies clearly, and there is no room for ambiguities, communication should be seamless. Expectations should be clear. Relationships are built on trust, and when policies are consistent, because there is, in fact, an actual policy, it is much easier for a client to understand what they are being charged for and why.

Why Your Voice Over Invoicing Should be Set Up the Day You Launch

I learn so much and am often so inspired by my voice over students. Recently, a very talented student new to voice over who had all his demos done and his website up and running booked his first gig! YAY! He reached out and wanted to know how to send an invoice. I was surprised by this. I was less surprised that he did not know and more surprised that I did not make it clear. So here I am, making it clear: if you are at the point where you are auditioning for work and ready to accept booked work that the universe sends your way, you had better have your business bank account up and running, and your voice over invoicing software set up and ready for use. Even though we had talked about invoicing and talked about CRMS, apparently I did not make it straightforward enough, so this is me making it clear. Do not start looking for work if you do not know what you are going to do when that work comes in. Why? From start to finish, you want you your client to have a seamless, professional experience, and if they have not taken every single step that you have discussed, then they are not ready to launch yet. Period.

My Personal Voice Over Invoicing Preference: Wave App

Over my years as a working voice talent, I have tried many different types of billing programs. I strongly prefer Wave App for several reasons. First of all, it’s free. Next, it is integrated rather seamlessly into the CRM I use, Voiceoverview. Because of this integration, I can create the invoice, modify, edit, and send it all within VOV. I can create shareable links and download PDFs of the invoice. I was able to customize the design to include my logo and the fonts that I prefer. All in all, of every option I have tried for invoicing over the years, this has been my absolute favorite.

Fresh Books

I very much liked using Fresh Books and its features and the only real downside is the heft monthly cost. I liked the look of the invoices it created. I liked that I could accept bank transfers, credit cards, and PayPal! I liked that I could add taxes for different countries. I very much liked the time tracking features. When I have done copywriting work, I used this feature and could do precise, to the second invoicing with ease. I also liked that for clients in other countries this program could sort out VATs and all of that and my effort was very little. Again, if it were free I would likely still use it.

PayPal

I love that you can create invoices for free. I do have some clients who specifically ask for PayPal invoices and I am happy to send them. Because they do not integrate with my CRM, I prefer Wave App to this, simply for ease of record keeping. This is fine, but not as great.

Square

I tried Square for several months several years ago. Other than to say it was lackluster compared to other invoicing systems, I do not have much to see. The look of the invoices was “ehh.” It was not as easy to work with. My overall experience was mediocre. Not bad, just not exciting.

Quicken

I have never endeavored to use Quicken, but much like Fresh Books those who do use it seem to love it very much. Quicken provides many features, and can both invoice and work as your accounting software. Again, like Fresh Books, you have to pay to use Quicken.

Voice Over Invoicing Best Practices

As small business owners with a client-centered approach, we need to be mindful of what is best for our clients. Typically, every time I deliver finished audio I invoice within the same email with a shareable payment link. As my billing software will also invoice directly, after that email, I also send a specific invoice-only email. Some clients specifically ask for either a downloadable PDF or for a PayPal invoice, and if that is the case I send that upon delivery of the email. In my invoice, I also have a “footer” message giving very clear and specific instructions with all the ways that I accept payment. I do know some nice talents who invoice weekly, but I prefer to send the invoice as the job is completed. The only time I make an exception is when I have a client who requests a monthly invoice. If that is the case I hold the invoice until the end of the month and invoice for everything at once.

Sometimes, it can be hard as business owners to balance what is right for our clients and what makes the most sense for us as voice talents. For example, sometimes clients request sessions at times that conflict without family responsibilities. In this instance, it is actually possible to both meet our client’s needs and to make the sound choice for our own business.

What Custom Voice Over Coaching Content Means

It’s In the Details

After finishing back to back jobs, one for a repeat client I do work for monthly and one for a new corporate client, I happily snuggle up with my studio dogs to do what I love: continue lesson plans for two students. While I always follow a specific pattern or structure in the way that I teach, every, single lesson is unique. Why? Well every talent starts at a different place and has different goals. An actor with years of training who comes from a stage background or an on-camera background has very different needs than a talent who is a total newbie. Or perhaps you’ve worked in one genre and now you are coming to me to branch into a new genre like Radio Imaging or IVR. The details of each scenario matter so much, so having unique, custom voice over coaching content matters.

So What exactly Is Custom Voice Over Coaching Content?

“Custom Content” means that each lesson is created for you and is based on current voice over trends. You don’t have to worry about working on scripts from four years ago or studying trends that are no longer relevant. Instead, your focus is on what is booking today and what you need to do to make your reads bookable. The other reason this is extremely important is that sometimes we all need to work on certain skills longer than others. While some of us breeze through understanding things like subtext, others take longer to decipher what scripts are really saying and need to spend more time on the basics of script analysis. Put simply, you cannot move at someone else’s pace for something as important as the foundations of your voice over career. You need to be at your own pace, tailored for your needs.

What Should I ask About When Talking to A New Voice Over Coach?

Having a coach that you have a good rapport is essential. It is ok to ask:

  • Where do your source your scripts?
  • Do you keep a script library?
  • Do I have to supply my own scripts or do you supply them? This question might surprise you, but not all coaches supply scripts for you.
  • Do you teach a technique for working on scripts?
  • Do you have a strategy for organizing my scripts?
  • Do we work in different industries/genres?
  • Do you help me determine where my personal vocal attributes fit into the VoiceOver industry?

Why Does it Matter That the Scripts Be Fresh?

It matters a lot both that scripts be current and represent what is currently on the air and that they are real.  The truth is, while some scripts that are sent our way as voice actors are beautifully written, many are not. And across genres, often they are filled with typos and are not even translated properly into English. If you are new to VoiceOver, and you are expecting the VO copy that you get to look or sound like what you hear on tv and the radio, you might have a good dose of disappointment coming your way. Or, you can learn as I have, to see this as yet another opportunity to provide a higher level of needed service to your clients. This is your moment to step in and offer them what they need. This is your moment to be helpful and point out, as a native English speaker, how a line might be re-worked. Should an entire script need editing, then for a fee you can provide that. But as a coach, it is my job to show you realistic scripts, not just perfect scripts. In order for you to be fully prepared to work in VoiceOver, you need to know how to tackle the scripts that are not beautifully written and do not follow the rules.

The other reason to understand the current sought-after reads is to best prepare for your demo. Whether you are doing a commercial or narration demo, you want your demo to have a long shelf life. You don’t want to pick spots that will age your demo. So, you have to be mindful of current trends and try to pick spots that won’t enable a client to say- “wow, that was done in 2022.” Understanding characteristics of what makes a strong voice over read is essential to success in this industry.

Tying it All Together with Custom Voice Over Coaching

As a coach, it’s my job to make it easy for you. It’s my job to guide you through the process and set you up for success. While there are never guarantees in any industry, partnering with a good coach that you feel comfortable with makes launching and boosting your VO business much easier.

VO Business Year in Review

Reflections on 2021

It’s somewhat hard to believe it’s now December. Somehow the last few months have blown by in a busy whirl. For me, as a working mom of twins who happen to be high school seniors, this fall was extremely busy. With the New Year fast approaching, I am starting to reflect on 2021: what I’m proud of and what I might have done differently. The year is not over yet, and I plan to use the rest of the month to end strong.

Thoughts on My Business

I like to think a lot about where my business came from. The clients who came directly to me, not through a pay to play or an agent, were up 44% from last year. Repeat clients makeup 2/3 of my business. Clients from my website were up 136% compared to 2020, so I was very pleased with that number.

I also grew my coaching and demo production business substantially this year, and it made up about 3.5% of my annual income thus far. I was pleased with that.

My pay to play numbers were down. While I did have some stellar bookings on CastVoices that I am pleased with as that site is just starting, my bookings on Voice123 with new clients were down more that 30% from 2020. While I continue to submit, I find this quite frustrating. One major goal is to surpass my 2020 numbers in 2022.

Reflections on Equipment and Gear

I made some sound equipment upgrades this year that I am very pleased with. Dave and I added the Presonus to direct clients when they come in for demo sessions. I got a fantastic new desk setup for outside of my studio space. I am really happy with this. I added the EVO4 preamp to my travel rig. I also finally got to use my new rig that I invested in before my trip. That has been fantastic for me. Most recently, I upgraded my laptop that I use daily when outside the booth. My original one was from 2015, and it simply died. I am so happy to have a new, fast, working device.

Marketing Thoughts

I have a lot of thoughts about my marketing efforts. This is the one area I put so much time and on-going effort, every, single day. I updated my headshots. I kind of felt that the photos should actually look how I look, and if I looked in the mirror and looked nothing like the gal in the photo it was probably time to change!  My website was then updated with the new photos. My website was not only updated superficially, but it got an update from the inside out, as it also now meets the requirements for Google Core Values. That update actually just happened, and I hope that clients now have an even easier time finding me. I continue to reach out to clients and industry friends with my monthly newsletter. After so many years, I am finally feeling more comfortable with mail chimp and have improved the format. I have also gotten a lot better with Canva this year and use their template consistently for my instagram posts. I have tried to be very much on top of my social media posts in 2021 and have grown a much larger following. I have also continued to blog at least once a week, and sometimes twice a week. I am proud that I have maintained my efforts with my blog.

I do feel that since August I have not been as on top of my direct emails. I feel that as I got busier with my twins, I became too relaxed and did not follow up as I typically do, especially in two main areas: with repeat clients and with my radio imaging outreach. When I sit and do it I regret that I dropped the ball a little.

Let’s end the year strong!

The year is not over! The next week and a half until Christmas can be a strong one! All marketing an be done with gusto. All auditions can be awesome. All booked work can be submitted with extra effort to make clients feel appreciated. Every single day matters, and each booking counts. As I reflect back on the year, I am so thankful for another year to pursue my dreams, and another year to work in the field I love. With the SOVAS this weekend, I am so excited to spend the last Sunday before the holidays surrounded by so many industry friends who are flying in from all over. Sometimes I say “there are no words” but for this weekend there are many words, and they are words of reflection and gratitude.

Why I Never had Imposter Syndrome as a Voice Actor

In the Past Year I Learned a New Phrase

Signs of Imposter SyndromeI’ve been a full time, professional voice over actor for quite a while now, but in the past year I started hearing for the first time a new term: imposter syndrome. I started hearing it on social media, on Clubhouse, and at conferences too. I found it surprising because in all my years in VO, I had never heard any other talents speak to this before. What I have learned is that this term refers to the feeling that one does not actually belong, or is not what they claim to be and is, instead, an imposter. Suddenly, in the past year, I am hearing about others feeling this way frequently. It is coming up often in conversation. Perhaps it is because many turned to voice over during covid. Perhaps it is because some start working or trying to work before they are actually prepared. For a multitude of reasons, suddenly I am hearing this all over the place. If you are interested in being a voice over actor, and you really want to succeed and do NOT want to feel like an imposter, perhaps consider my experience, as this has never been an issue for me.

Lots of Training

When I started working in voice over, really working, it was after no less than a year of working at getting into voiceover. In that Coping with Imposter Syndromeyear, I worked with 4 coaches and took advanced acting and improv at a local theater. I spent sic to eight hours A DAY studying and working on my craft. I worked on scripts. I practiced characters. I recorded. I edited. I submitted to my coaches. I listened back to my assignments. I did research and followed prominent voice actors to see what they were booking. I took multiple private lessons each week. I was in group classes with GVAA. I had practice partners. I met with those partners. I did homework for those partners too and I took each and every assignment so seriously, as if my life depended on it. So when I say I had lots of training, that is just when I started out. Since then I have continued to have lots of coaching. Have coaching is the foundation of all we do. I think by the time my website launched, I was so ready to work that it never occurred to me that I was not prepared to serve my clients.

Long Days

Defining Imposter SyndromeBoth as a student of voice over and now as a professional, I have always put in extremely long days. From morning to night, often going back into my booth after dinner, my days are long and rigorous. Sometimes new talents ask me when they will start booking. They tell me they have submitted 50 auditions. I try to keep a straight face. I typically submit more than 30 auditions in a day, even now, so 50 auditions is in no way impressive to me. I have often heard of the rule of 10. I believe that Gaby Nistico has even made a video about it. If you work 10 hours a day more than 10 months a year for 10 years that is when you start making six figures… Well, I believe there is something to this. I have always had the luxury of being in voice over “full-time.” Well, let’s flesh this out. What exactly does “full-time mean? To me, it means I maintain standard business hours and I am in my booth al day every day to serve my clients. The more you are available and the more you record and submit, the more legitimate your business is.

Sure of My Identity 

Types of ImpostersWhen my business launched, in audition to lots of coaching and sweat equity under my belt, my first website helped establish my identity. I never had doubts about my identity as a professional. I had been told by every coach I ever worked with that even at the start of my career, I should introduce myself as a professional. I did so with confidence. As I get clients under my belt and had testimonials, I felt more proud of what I was building, but it never came from a place of doubt. I was certain that I was building a great service business that would help my clients get what they need.

Wholly Committed

Another reason I think I never suffered from this imposter syndrome is that I was entirely committed from day 1. Basically, I bet the house on it. I built a high-end studio. I had an expensive microphone. I was working full time. It was never an option for it to not work. Success was my only possible outcome. It never occurred to me that I was not a voice actor. I set out to live this life and I did. Period. Sometimes we have choices in this world, but as a working mom, failure was not an outcome I was willing to explore. I only had one potential outcome for myself and my children, and that was for the business to take off.

It Can All Disappear in a Moment

Time of Thanks

This season, I think it’s natural to spend time thinking about what is going well in our lives and what we are thankful for. Thanksgiving seems to bring that out in all of us. I have a wonderful pilates instructor, Gwen, and when we are alone and I can actually breathe, when tend to talk about real issues. Recently we were chatting about health and well ness and how we are amazing that you can get to a point where you reach your goals, that are or were not so easy to reach, and how quickly they can all be undone. A run-in with some candy or a birthday night out and we are set back on our endeavors and it feels dreadful. How easily we are reminded when we give thanks that perhaps we are always teetering on the brink of perhaps being in a state we do not want to be in.

VO Foundations ChecklistOf course this chat with Gwen about our health made me draw a parallel to voice over and think about how easily it can all be undone. Imagine years of hard work and suddenly the ups and downs of voice over just continue to spiral down. I of course thought back to hearing Dave Fennoy, world famous voice actor best known for his video game roles, who I had the privilege of hearing speak for an entire day back in 2016 at a conference called VO Revolution. Perhaps it was his lack of pretension that got me, but Dave talked about how after a few big bookings he thought that he had made it. He shared how his business peaked and then plummeted. He advised working as if every day is your first day in voice over and warned that if you don’t you can lose it all. I carry this with me. This has always had my wheels turnings. So, if all that we have worked hard to build can slip aways so easily, here are some of my best tips to lay a strong foundation for your voice over business:

Be Accountable

You need a support system within the voice over community to be accountable to. When I first started in voice over, I used a journal system where I wrote my goals and focused on them and revised them. This was good but it was not enough. You need a group of others that you will meet with and answer to. I have met with and continue to meet with my accountability group weekly. They are my secret sauce and without them I would not be where I am today in my career. Every group is different. Some groups work on craft. Our group is more focussed on business. But, you need to answer to someone other than yourself.

Keep Auditioning

Auditions matter. Sure it’s great when you are on rosters and clients hire you without auditions, bur how do yhou expect to get new clients and new bookings? I once heard Bob Bergen, world renowned voice of Porgy Pig say the audition is the job. He talked about how he gets up in the 5 o’clock hour to begin his day so he does not miss out on any work opportunities. That was Bob Bergen, not some struggling actor no one has heard of, but one of the industry leaders talking about the importance of starting your day and getting on those submissions. Now, some voice actors like t submit more than others. I like to audition a lot and submit a lot. Others don’t. Remember, the better your booking ratio is, the more chance you have of getting more clients, all from auditioning.

Maintain the Client Relationships You Have

This should be a joy to do. These people already like you. They have already hired you. Now you simply have to keep in touch and remind them why you being there makes their life easier. Don’t let them forget that you have already done great work for them. Make sure they remember you are available. You can send follow up emails, newsletters, holiday cards, thank you notes, and try to get to know the people you work with.

Continue to Work on Your Craft

Remember, trends in voiceover shift. What was sought after five years ago is likely not en vogue today. You need to continually have your finger on the pulse of what is booking right now in all of the genres you work in. From continuing to attend conferences, to working with coaches, to on-going practice, your work on your craft in voice over will never end. Just as doctors and lawyers must attend conferences and professional development work shops, so must voice actors. If you see a dip in your bookings, it is often because trends have shifted and you likely need some coaching to understand what is booking right now.
